OpenTable (OT) Add-On
Instructions

Step 1
Download and extract the file "EnableIFS.zip" and the file "OTList.mdb" to the network Database folder.
Note. To see where your Database folder is located click the F8 key, it should look something like this:
\\ServerName\Apps\Goldkey\Database

Download EnableIFs.zip
Download OTList.mdb


Step 2
Launch EnableIF.exe and select the Open Table option button. Enter the Open Table License Key (it is an 8 digit key) you obtained from Gold Key Solutions and press "Enable"
Note: Call (818) 865-0006 to obtain the OT License Key, the Metropolitan Area Number and the Metropolitan Area Name.


Step 3
Launch The Concierge Assistant and logon with Administration privileges. Click on the Administration tab, click the Interface Options button and select the Open Table Interface tab.

 
On this panel you will enter:


  • Your Open Table Hotel ID (get it from your concierge OT account or OT Representative)

  • Your Metropolitan Area Number (from Step 2)
  • Your Metropolitan Area Name (from Step 2) Must be entered exactly as received
  • The mapping of the selected logbook category and its data entry elements as outlined below.
Step 4
Import the Open Table Restaurant List. Click on “Search List”. A listing of the Restaurants registered with Open Table will be provided.


Double click on the first restaurant name. The name of the restaurant you have selected will be highlighted and displayed directly under the “Add Restaurant” button. The selection that The Concierge Assistant will look for will be displayed in the field labeled “Enter Primary Name”. If a letter or the name of this restaurant strikes a match with the search in your Concierge Assistant database, CA will present those restaurants meeting the search criteria in the display area at the bottom of the screen. You will need to review the list to see if this restaurant exists in your database.

(If the name is too general, as in the example below, you may add more letters and click on the “Search CA” button to narrow down the search.)

If the search does not find the exact match then you will need to click on the “Add Restaurant” button. The highlighted restaurant will be added to your Concierge Assistant database with the relevant Open Table restaurant information.

If The Concierge Assistant finds the match to the restaurant you have selected, all you will need to do is double click on the matching restaurant in the lower portion of the screen. The name will appear under the “Update Selected Restaurant” button. Click on the “Update Selected Restaurant” button and CA will update the selected Contact with the relevant Open Table information.

Follow these procedures for the entire list of restaurants presented in the “Search List”. As each restaurant on the “Search List” is processed, they will disappear from the list and get added to or will update your Contacts database. Once this procedure is complete, you will be ready to make your Open Table reservations online. These updated and new Open Table restaurants will now have an OT after their names whenever the Rolodex is called up.

Step 5
Making a Reservation
Note. Before you can make a reservation you need to add the OT User ID (See step 3) into Administration/Concierge Staff


When making an Open Table reservation the procedure for making a Logbook entry in The Concierge Assistant is the same. However, now when you are making a reservation for an “Open Table” restaurant the logbook data entry panel will show a new icon. Required information will include the time and the number in party in addition to the restaurant information.

Double click on this new icon and you will see the following screen. Click on the “Search” button for times and availability.

Double click on the requested time of the reservation and then click on the “Book Reservation” button. When the reservation is confirmed, you will get the following message.

Click “OK” and it will return you to the data entry panel. Click on “Save” and the screen will return you to the first page of the logbook reservation. You will notice that the icon for Open Table next to the “Type of Entry”, notifying any user that a reservation has been made. Be sure to complete the reservation by marking it as complete and how the guest was notified. Now “Save” and you’re done.

If a reservation must be cancelled, put a checkmark into the “Cancelled” box. When you click on the “Save” button, The Concierge Assistant will notify Open Table of the cancellation automatically. For changes to the number of guests, reservation time etc. a call will need to be placed to the restaurant.
